Om stillingen
We are seeking a highly organized and proactive Administration Support Coordinator to support the Global Disaster Management Unit with a range of administrative, logistical, and communication tasks.
The role is essential in ensuring the smooth planning and execution of different events like meetings, conferences, and trainings.
The position is temporary for the fall of 2025 and is based in Oslo in the International Department. We are looking for someone who can start early August or as soon as possible. The successful candidate need to already hold a valid work permit in Norway.
You need to be able to handle a range of administrative tasks and coordinate several events at the same time. The successful candidate will work closely with internal technical leads (e.g. health and WASH experts), external service providers, and event participants to ensure all aspects of our events run efficiently.
Administrative Support
- Manage travel arrangements including booking hotels, flights, accommodation, and local transport.
- Handle communications with hotels and other venues regarding conference programs, catering, and other logistical needs.
- Maintain accurate and timely records of all bookings and communications.
Meeting and Conference Coordination
- Coordinate with participants before, during, and after events to ensure effective communication and a positive experience.
- Assist in organizing and executing meetings, conferences, and training events.
Support the evaluation of meetings and training sessions, including the distribution and analysis of feedback surveys.
- Draft detailed reports and summaries from meetings and events.
Program and Agenda Planning
- Collaborate with technical leads to create and distribute event agendas and schedules.
- Ensure all meeting materials are prepared and shared with participants in a timely manner.
General Support
- Provide administrative assistance as directed by the line manager.
- Contribute to documentation and ensure records are well-maintained and accessible.
- Support other operational tasks as needed to ensure team efficiency and effectiveness.
-Occasional travel may be required for on-site conference and event support.
-Flexible working hours may be necessary during event periods.
Proven experience in administrative support or event coordination.
Strong organizational and time-management skills.
Excellent written and verbal communication skills in Norwegian and English.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and virtual meeting tools.
Ability to handle multiple tasks simultaneously and meet deadlines in a fast-paced environment.
Experience with stakeholder communication and customer service is a plus.
Knowledge of the RCRC Movement will be considered as an asset
Detail-oriented with a proactive approach to problem-solving.
Flexible and adaptable to changing priorities.
Team player with a professional and courteous demeanor.
Experience in international or cross-cultural contexts is an advantage.
Fluency in English. Willingness to learn Norwegian (B2-Bergenstest) for non-Norwegian speakers.
